If you're experiencing issues with payroll errors in QuickBooks Desktop, follow these steps to resolve them:
1. Rebuild Your Data
Performing a data rebuild can help identify and correct errors in your database that may be causing payroll issues such as incorrect tax calculations or failure to send.
2. Identify Stuck Checks
To locate any paychecks that haven't been sent to Intuit:
- Go to the Edit menu and select Find.
- Choose the Advanced tab.
- Under the Choose Filter section, select Detail Level from the filter list and choose Summary Only.
- Return to the filter list, scroll down and select Online Status, then choose Online to Send.
- Click Find. This will display paychecks that were not sent to Intuit.
- Make a note of the "Number of matches" shown in the Find window, then proceed to the next step.
3. Toggle the Stuck Paychecks
Follow these steps for each paycheck identified in Step 2:
- Open the oldest stuck paycheck.
- Click the Paycheck Detail button.
- In the Review Paycheck window, under the Earnings section, add the same earnings item as the last one in the list. For example, if the last item is Hourly Rate, add another Hourly Rate entry.
- When a Net Pay Locked message appears, select No.
- Verify that there are no changes to the tax amounts and net pay, then click OK.
- If you receive a Past Transaction message, select Yes.
- Click Save & Close to close the paycheck. Confirm by clicking Yes when prompted with the Recording Transaction warning.
- Reopen the paycheck and click the Paycheck Details button again.
- Delete the earnings item you just added in the Earnings section.
- Ensure no changes are made to the tax amounts and net pay, then click OK.
- Repeat these steps for each stuck paycheck.
Once completed, go back to Step 1 to rebuild your data and download the tax table update again.
4. Contact Intuit Payroll Support
If the above steps do not resolve the issue, you may need further assistance. Contact Intuit Payroll Support for deeper diagnostics. They can reset your payroll service key, validate your subscription, and help identify any additional stuck or missing paychecks.
