Important Quickbooks Considerations

As hosting providers for Intuit QuickBooks, there are a few things we do in our hosting environment that we wanted to make you aware of.

 

  1. QuickBooks Licensing:

    While you must maintain an active subscription to Intuit QuickBooks, the actual license you hold is not used on our servers. Instead, we use hosting provider licenses that are separate from Intuit support contracts. If you need to contact Intuit for support with features such as bank feeds, email integration, or specific file issues, you must use your personal QuickBooks license rather than the server-based one.

  2. Backups:

    We perform nightly backups of all servers and your data at approximately 8 PM Central Time. These backups are retained for a minimum of 30 days. If you need an older backup (grandfather backup) or prefer to keep a backup for yourself, save the file to the server's Q drive and then transfer it to your local machine. Do not configure automatic backups within QuickBooks as this would be redundant and consume additional server space. Once transferred, you can delete the backup from the server.

  3. QuickBooks Program Updates:

    We manage updates to the QuickBooks program, scheduling them during off-hours and weekends. Do not attempt to update QuickBooks yourself. Updates must be performed by a system administrator when no users are logged in.

  4.  Server Maintenance Windows:

    We have two reserved maintenance windows for server updates. During these times, if you are logged in, you will receive a notice indicating that the server will be taken offline and you must log off until maintenance is completed. While not always offline during these windows, maintenance tasks take precedence.

    - **Central Time – Wednesday evenings from 10 PM to midnight.**

    - **Saturday from 10 PM to Sunday 6 AM.**
