Important Quickbooks Considerations

As hosting providers for Intuit QuickBooks, there are a few things we do in our hosting environment that we wanted to make you aware of.

 

  1. QuickBooks licensing  - Although we require you to have a current subscription to intuit QuickBooks, we do not use that actual license on our servers.  We are given hosting provider licenses which are NOT tied to an intuit support contract and we load these up on the servers.  If you need to contact Intuit, or require support for a feature within the program, like bank feeds, email integration, or issues within the file itself, you will need to provide your licenses and not the license on the server when you contact intuit.
  2. Backups – we take nightly backups of the servers and all of your data every night around 8pm Central – We keep these backups for at least 30 days.  If you need a grand father backup or a backup for your own, you can backup your file to the server Q drive and THEN MOVE THE BACKUP to your machine.  Do not set up automatic backups within QuickBooks as this would be redundant and require additional space.  Just copy the file to your machine and you can delete the backup on the server.
  3. Updates to the  QuickBooks program -   we manage the update of the program and schedule this after hours and weekends.  DO NOT ATTEMPT TO UPDATE QUICKBOOKS yourself.   This must be done with no users on the system by a system administrator.
  4. Server Maintenance Windows – we reserve two maintenance windows for updates of the hosting Servers – during this time, if you are logged in, we will provide a notice that the server will be taken offline and you will need to be logged off until we have finished.  We do not take servers offline always during maintenance windows, but during this time, maintenance will take precidece

    Server Maintenance – Central Time – Wednesday evening from 10-midnight and Saturday night 10PM thru 6AM Sunday morning.
